How to Add a Teams Link to an Existing Meeting or Email

In short: to add Teams to an Outlook meeting you already sent, open it as the organizer, turn on Teams meeting and select Send update: the link is added to everyone’s invitation. For an email or another calendar, create the meeting first, copy its link and paste it.

You sent an invitation without a Teams link, or you need to put the link in an email, a Google Calendar event or a booking tool. Here is how to do it in each case.

Add a Teams link to an existing Outlook meeting

  1. Open the meeting from your Outlook calendar. You must be the organizer.
  2. Turn on the Teams meeting toggle (Outlook on the web and new Outlook) or select Teams meeting in the ribbon (classic Outlook).
  3. Select Send update. Attendees receive the updated invitation with the Teams link.

If the Teams option is missing, see Teams meeting link not showing in Outlook.

Add a Teams link to an email

The email window has no Teams button. Create the meeting first (in the calendar, or with Meet now → Get a link to share in Teams), copy its link, then paste it in your email. To keep the email tidy, select a few words such as “Join the meeting” and press Ctrl+K to turn them into a link. See how to create a Teams meeting link.

Add a Teams link to another calendar or tool

For Google Calendar, Calendly, a CRM or a booking page, paste the link in the location or description field of the event. A short link is safer in these fields: some tools cut or reformat long addresses. For Google Calendar, Microsoft also offers an add-on: see add a Teams meeting to Google Calendar.

Change the Teams link of a meeting

Teams generates the link: you cannot edit it. If you turn the Teams meeting option off and on again, the meeting may get a new link: send the update so that attendees do not keep the old one. To give a link that never changes, use a recurring meeting as a permanent link.
